AI Procurement Information Governance Checklists


What is it?

A set of checklists to help you ensure that the laws relating to data protection and equalities are suitably considered and met when you are procuring AI-based technology.

Why did we create it?

LOTI worked on the LGA guide How to build equality & data protection into your AI commissioning and procurement processes: a guide for councils in England. The guide is role-based and LOTI has produced these process-based checklists to complement the guide.

These are comprehensive checklists that you can use for any size of procurement. You may have one person complete the majority of tasks for a smaller procurement, or allocate actions across a commissioning team for larger contracts. 

The size and risk of the procurement also influences how long tasks will take, with some tasks under an hour and some continuing over several weeks or months.

Who should use it?

  • Commissioning teams/leads – anyone looking to procure an AI-based technology.
  • Project managers leading procurement activities – you can build the requirements into project plans.
  • Data protection, cyber security and equalities specialists – you can use the checklists themselves or recommend them to teams that are procuring AI.
  • Procurement leads – you can see where to build equalities and data protection into procurement processes, and use the checklists to guide commissioners on necessary actions.
